Phase 2 · for project leads
Rolling it out
The meeting with the project lead is the heart of the rollout. In about 60 minutes we cover the three topic areas every facility has to address — without slide marathons, without consultant-speak.
Technology
- Hardware — which QR labels, scanners or devices are needed
- Software — Samedis.care runs in the browser and on every smartphone. What devices/OS are available?
- Data exchange — is there an inventory or asset system we should sync master data with?
- Permissions — which roles, user groups, single sign-on?
Formal aspects
- Co-determination — loop in works council / staff council; we provide templates for company agreements
- Data privacy — GDPR-compliant, DPA per Art. 28; all data stays in the EU
- Data security — ISO-27001 certified data centres, documented in our Trust Center
Organisation
- Roles — training managers, key users, biomedical engineering, IT
- Timeline — typical rollout takes 4–8 weeks, depending on size and data state
- Workflows — data and material flows in everyday clinical practice, interfaces to service partners and manufacturers

Switching from trial to live operation is just as flexible as everything before: self-service in the app or with a tailored offer.
Path A: Self-service subscription
Straight from inside Samedis.care, no sales loop:
- Create your facility — if you haven’t yet, set up a tenant for your hospital. The full walkthrough lives on the trial page.
- Tell us how many devices — inside the tenant, go to Facility → Billing and enter the number of devices you want to manage, in steps of 100. The price is calculated automatically from that.
- Add billing & payment details — address, VAT ID, and your payment method (card or SEPA direct debit). The secure handling is managed by our payment gateway Stripe.
The subscription is activated automatically in the same step. Adjustments (more devices, additional sites) can be made any time via the same screen; cancellations follow the agreed contract terms.
Path B: With a consultation
For larger setups (multiple sites, individual SLAs, sizeable data migration) we’ll prepare the offer with you:
- Book a meeting — review requirements and special needs together
- Binding offer — fixed price including SLA, in writing
- Place the order — CRM-tracked, with a clearly-assigned contact person on our side
Phase 4 · during operation
Ongoing support & services
We don’t leave you alone after go-live. Four pillars are continuously available:
- Request a quote — for additional services (e.g. data migration, custom training)
- Alignment meetings — regular reviews with the project lead, optional quarterly
- Tutorials — step-by-step guides at tutorial.samedis.care
- First-level support — personal, English/German speaking, without ticket-roulette
